Privacy policy
Last updated: 5 October 2026
Torjman.ai (“Torjman”, “we”) is a desktop app for Windows and macOS that reads your email, WhatsApp chats and documents, finds what needs a reply and drafts it for you to review. This policy explains what data the app uses, where it goes and the choices you have.
The short version
- Your email, chats and files are stored on your own computer, not on our servers.
- When you run an AI task, only the text that task needs is sent to the AI model.
- We never sell your data, never use it for advertising and never use it to train AI models.
- You can disconnect an account and delete its data at any time.
1. Data that stays on your computer
Torjman keeps the following in its data folder on your computer: the email messages and WhatsApp chats it downloads, the documents you add, analysis results, drafted replies, and the passwords or sign-in tokens for the email accounts you connect. None of this is uploaded to our servers.
2. Google account data (Gmail)
If you choose “Sign in with Google” to add a Gmail account, Torjman asks Google for access to your
Gmail (https://mail.google.com/), together with your email address. This is the
permission Google requires for an app to read and send mail over IMAP and SMTP, which is how Torjman
works with every mail provider. Torjman uses this access only to provide features you can see and use:
- download your messages to your computer, so you can search them and see which ones are still waiting for a reply;
- analyse the messages you choose, and draft replies using the earlier messages of the same thread;
- send a reply or a campaign message, only after you have reviewed it and confirmed the send.
Torjman does not delete or move messages in your mailbox. The sign-in token Google gives the app is stored only on your computer and is used only by the app on that computer.
We do not sell Gmail data, use it for advertising, or use it to develop, improve or train generalised AI or machine-learning models. No person at Torjman reads your Gmail data, unless you ask us to and give us permission (for example when you send us a support request), or where this is needed for security or required by law. Gmail data is passed to others only as described in section 3, to provide the feature you asked for.
Torjman’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
You can remove Torjman’s access at any time at myaccount.google.com/permissions, or by removing the account in the app.
3. AI processing
Torjman’s features are done by AI models. When you run a task, such as analysing emails, drafting a reply, asking a question about your files or reading an invoice, and when the app prepares newly downloaded messages and documents for search (which it does after each download), it sends the text that task needs to an AI model through OpenRouter, which passes it to the model provider (currently OpenAI). They process it to return the result, under their own privacy policies, and under their API terms they do not use it to train their models. We do not store this text on our servers. The app keeps a record of each AI call on your computer (the feature, the number of tokens and the cost), so you can see what your credits were spent on.
4. What our servers receive
The Torjman service (hosted on Google Cloud) receives only what it needs to run your account:
- Torjman key checks: your Torjman key, to confirm it is active.
- Purchases: card payments are handled by Stripe; we never see your card details. We receive your email address and the payment result, to create your key, add your credits and email you the key.
- Updates: the app’s version and platform, to offer you the latest version.
- Anonymous usage statistics: which screens and features are used, with the app version and platform, linked to a random ID for your installation and sent on to Google Analytics. They never contain message, email or document content, names, email addresses or phone numbers. You can turn them off in Settings.
5. WhatsApp
Torjman links to WhatsApp as a linked device, the same way WhatsApp Web does. The connection runs on your computer and your chats are stored there. Like email, chat text goes to the AI model only as described in section 3, or when you turn on the auto-reply bot for that chat.
6. Who we share data with
Only the services named above: the AI providers (section 3), Stripe for payments, Google Analytics for anonymous usage statistics, and Google Cloud, which hosts our service. We do not sell personal data or share it with anyone else, except where the law requires it.
7. Keeping and deleting your data
- Data on your computer stays until you delete it. Removing an account in the app deletes its downloaded messages and analysis.
- Uninstalling the app and deleting its data folder removes everything:
%LOCALAPPDATA%\Folioon Windows,~/Library/Application Support/Folioon macOS. - We keep purchase records for as long as accounting and tax rules require. To have the rest of what we hold about you deleted, email us.
8. Security
Your data stays on your device, and every connection the app makes (to your mail provider, the AI provider and our service) is encrypted with TLS. Sign-in tokens never leave your computer.
9. Children
Torjman is a tool for work and is not meant for children under 16.
10. Changes to this policy
When we change this policy we update the date at the top. If a change affects how your data is used, we will tell you in the app before it applies.
